Bluegrass Precision Motorwerks LLC · Effective October 13, 2026
BPM Time Off is the private time-off and employee site of Bluegrass Precision Motorwerks LLC (“BPM,” “we”). Only BPM employees on our staff list can sign in. This policy explains what information the site keeps, why, and who else touches it.
What we collect
For each person on the staff list: name, work email, an optional cell number, role (employee or manager), paid time off settings, and a PIN. We store the PIN only as a one-way scrambled value, so we can’t read it. We also keep the time-off requests you make (dates, type, notes) and the decisions on them, the date you confirmed you read the employee handbook, and sign-in records such as one-time codes (also stored scrambled) and failed-attempt counts. The site uses cookies that keep you signed in and remember which person last used a device. It has no advertising or analytics trackers. Pages load fonts from Google Fonts, so Google may see your device’s IP address when a page loads.
How we use it
To run time-off requests and approvals, show staff who is off and when, put approved time off on the shop’s Outlook calendar and your private calendar feed, send you sign-in codes and decisions by email and text, keep the handbook acknowledgment, and protect the site from misuse. We do not use it for advertising or marketing.
Text messages
Texts are optional. We text you only if you tick the text-message consent box yourself (it is never pre-checked), and then only a sign-in or PIN-reset code when you ask for one, and a short message when a time-off request of yours is approved, denied or cancelled. We keep the date you agreed and the wording you agreed to. Message frequency varies with what you do. Message and data rates may apply. Reply STOP to any text to stop, or HELP for help. We never send marketing or promotional texts.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. No mobile information is shared with third parties or affiliates for marketing or promotional purposes, and text-message opt-in data and consent are not shared with any third party. Details are on the text message terms page.
Who can see your information
Managers (Kevin Adams and Joe Tutewiler, and anyone they promote to manager) can see everyone’s profile, requests and balances. Signed-in staff can see the names, dates and type of approved time off in the “Who’s off” list and the shop’s closure list, and the cell numbers of managers on the “Who to call” page. Employees see only their own paid-time-off balance.
Companies that help us run the site
We use service providers to host and operate the site, and they handle your information only to do that job: Railway (hosting and database), Twilio (text messages), Resend (email), and Microsoft 365 (Outlook calendar). We do not sell your information. We may disclose it if the law requires.
How long we keep it
We keep time-off and handbook records for as long as they are needed for payroll, attendance and company records. If you leave BPM, your access is removed and your past requests stay in our records. A manager can correct your details or remove your cell number at any time; just ask.
Security
The site is served over HTTPS. PINs and codes are stored scrambled, repeated wrong PINs lock sign-in for a while, and every page is kept out of search engines. No system is perfectly secure, so please keep your PIN private and tell a manager if you think someone else used it.
Changes and questions
We may update this policy and will change the date above when we do. Questions or requests about your information:
